Keep the public access file assembled, not assemblable
The public access file must be available within one working day of a request and contains the certified LCA, the wage rate, the prevailing wage determination, evidence of notice posting, and a summary of benefits. Keeping these documents in one place per engineer — already collated — is the difference between a fifteen-minute conversation and a week of follow-up correspondence.
Review the file whenever the engagement changes. Worksite moves and wage adjustments are the two items most often out of date.
Brief the people who will actually be in the room

Ask for the officer's business card and record what was asked and what was provided. That record is useful if a later request for evidence references the visit.
Follow up in writing
If a document was unavailable during the visit, send it promptly with a short cover note. Silence is the only genuinely bad response. Internally, log the visit, note any gaps it exposed, and close them across the whole roster rather than for the single engineer who was visited.
